How to Convert a Bank Statement to Excel

ScanText reads transaction information from supported PDF and image bank statements, then organizes detected records into editable spreadsheet rows. Upload a statement, review the extracted dates, descriptions, debit, credit, and balance values, and export the reviewed data as an Excel (.xlsx) or CSV file.

  1. Upload a PDF, JPG, PNG, or WEBP statement (PDFs are limited to 20 pages).
  2. Extract text directly or use OCR for scanned pages and images.
  3. Review and correct the transaction table, then download Excel or CSV.

What Is a Bank Statement?

A bank statement is a document showing account activity over a specified period, including transactions and balances. A transaction table is the structured part of that statement: each row represents activity and may include a date, description, debit, credit, balance, or reference. ScanText turns detected transaction text into rows you can review and use in spreadsheet workflows.

What Information Can Be Extracted From a Bank Statement?

The parser looks for transaction dates, descriptions, debit and credit amounts, balances, and additional amount fields when it detects them. It does not claim to extract account holder details or every reference field. Available fields depend on the structure and information contained in the uploaded statement.

What Bank Statements Can You Convert to Excel?

Text-based PDF bank statements

A text-based PDF contains selectable text that can often be extracted directly. The tool reads the PDF text and uses layout positions to identify transaction rows.

Scanned bank statements

A scanned PDF contains page images rather than selectable text. OCR (Optical Character Recognition) converts text in those images into machine-readable text before transaction parsing.

Image bank statements

Upload JPG, PNG, or WEBP statement images. Clear, well-lit, straight images with readable text are easier to process. The current upload limit is 25 MB; PDFs are limited to 20 pages.

Statements vary by bank, country, currency, date format, column names, layout, PDF type, and scan quality. The extractor is designed around transaction and table structure rather than one specific bank template, but not every layout will produce usable rows.

How Bank Statement OCR and Table Extraction Work

OCR means Optical Character Recognition: software reads text contained in images or scanned documents. ScanText combines PDF text extraction or OCR with layout heuristics to find transaction-like lines and amounts. A bank statement is more than a block of text, so the parser also uses word positions and nearby values to infer dates, descriptions, and amount columns.

Table extraction must account for column headers, transaction rows, wrapped descriptions, debit and credit columns, balance columns, and repeated page headers. The current tool does not guarantee perfect table reconstruction across every statement. Results can depend on resolution, skew, contrast, font, language, and table complexity.

Bank Statement Formats and Column Names

Banks can label similar information in different ways. For example, date columns may be called “Date,” “Transaction Date,” “Posting Date,” or “Value Date.” Descriptions may appear as “Details,” “Particulars,” “Narration,” or “Transaction Details.” Debit and credit columns may use “Withdrawal” or “Deposit,” “Dr” or “Cr,” or “Money Out” and “Money In.” Balance may be labeled “Running Balance” or “Available Balance.”

The parser uses recognizable text and layout clues; unfamiliar terminology or unusual column positions can affect classification. It does not automatically resolve ambiguous date formats. For example, 04/05/2026 could mean different dates depending on the statement's convention.

Numbers may use formats such as 1,250.50, 1.250,50, or 1 250,50. Currency symbols and codes can also vary, including USD, EUR, GBP, PKR, INR, and AED. Check separators, currency, and decimal places against the original document.

What Does the Excel Output Contain?

The export organizes the transaction rows currently shown in the editable review table. The standard columns are date, description, debit, credit, and balance; additional detected amount columns may also appear. Example values below are fictional and illustrate the column structure only.

Bank statement to CSV

CSV export is available alongside XLSX. CSV is a plain-text tabular format commonly used with spreadsheet applications, data analysis tools, accounting workflows, and database imports. The columns and values match the reviewed transaction rows.

Review Extracted Bank Statement Data

OCR and layout parsing can misread characters or assign a value to the wrong column. Before relying on an export, compare dates, decimal points, debit and credit classifications, amounts, balances, and any reference values with the source statement. The results table lets you edit cells, add rows, or delete rows before downloading. Extracted financial data is not guaranteed accurate.

Ways to Use Transaction Data in a Spreadsheet

  • Personal expense tracking: sort or filter reviewed transaction rows to organize spending records.
  • Accounting and bookkeeping: prepare structured transaction data for an existing bookkeeping workflow.
  • Business reconciliation: compare statement entries with separate accounting records.
  • Financial analysis: use spreadsheet sorting, filtering, totals, and formulas on verified data.
  • Record management: make information in a static document easier to search and organize.

These are data organization uses, not financial advice. Verify extracted values before using them in business or personal records.

Frequently Asked Questions

How do I convert a bank statement to Excel?

Choose a PDF, JPG, PNG, or WEBP statement, select an OCR language if needed, and run extraction. Review and edit the detected transaction rows, then choose Download Excel or Download CSV.

Can I convert a PDF bank statement to Excel?

Yes. Upload a PDF up to 25 MB and 20 pages. Selectable PDF text can be read directly; image pages use OCR in your browser. Extraction depends on the document layout and scan quality.

Can scanned bank statements be converted?

Yes. The tool applies OCR to scanned PDF pages and supported statement images. OCR can misread characters, especially in low-resolution, skewed, faint, or complex documents, so check every extracted value.

What information can be extracted from a bank statement?

The transaction parser looks for dates, descriptions, debit amounts, credit amounts, balances, and other detected amount columns. Available fields depend on the statement, and the parser may not identify every bank's layout.

Can I export bank statement data to CSV?

Yes. Once transaction rows are available, download them as CSV or Excel (.xlsx). Both exports use the rows currently shown in the review table.

Does the tool support different bank statement layouts?

It uses text, OCR, and layout heuristics rather than a connection to a particular bank or a fixed bank template. Different column names, date formats, and table layouts can affect extraction; review the results before using them.

Are my bank statements uploaded to ScanText?

The selected document is processed in your browser by the PDF and OCR libraries used by the tool. It is not sent to a ScanText upload API. Your browser, extensions, and device environment are outside the tool's control.
